Everyone sees only what they need.

The practitioner retains control of clinical records. Reception manages the calendar and contact details, while accounting sees payments and exports — never consultation notes.

Compliance and continuity

The record your practice requires,
without adding daily complexity.

DocTime turns essential requirements into simple everyday actions. It helps you maintain, retrieve and transfer records without replacing your professional responsibility.

A genuine digital patient record

Identity, history, allergies, alerts, clinical notes, appointments and documents are grouped in one structured record.

Retention without automatic purging

Records are not automatically erased. Belgian law requires retention for at least 30 and at most 50 years after the last patient contact.

Trash and protected history

Deleted appointments, documents and notes remain recoverable. Important actions are dated in a log users cannot edit or erase.

Main database in Europe

Structured data is stored in a database configured in Europe, encrypted in transit and at rest, with account-level isolation.

Export whenever needed

Patient PDF, complete archive with documents, and CSV, Excel or PDF appointment exports keep your data retrievable.

GDPR without shortcuts

Access, portability, security and account closure are supported. Erasure remains subject to the practitioner’s legal retention duties.

Frequently asked questions

Compliance, explained clearly.

Precise answers without turning professional duties into slogans.

How can I contact DocTime or request a presentation?

Email contact@doctime.eu or use “Schedule a presentation” to book a conversation. To protect privacy, do not include identifiable patient data or medical documents in your message.

Does DocTime make me “Quality Act compliant”?

No software can comply on your behalf: the Act of 22 April 2019 applies to healthcare professionals. DocTime supports you with structured records, a timeline, no automatic purge, recoverability and exports.

How long must a patient record be retained?

In Belgium, healthcare professionals retain records for at least 30 and at most 50 years after the last patient contact. DocTime applies no automatic purge while the account is active. A recent full archive is required before permanent account closure, and the practitioner explicitly assumes responsibility for retention.

Are patient data protected?

Each account is isolated by database and storage rules. Email verification is required, two-factor authentication is available, and Firebase encrypts traffic and stored data. The main database is configured in Europe; some optional or technical services may process data outside the EEA.

Can I give the patient a copy?

Yes. A patient record PDF can be generated from their profile, and a complete account archive including documents is available in preferences. Attachments listed in the PDF must be supplied separately when a complete copy is requested.

Can a patient always request erasure?

The GDPR right to erasure is not absolute. It can be restricted where retention is necessary to meet a legal obligation, including patient-record duties. Each request must be assessed against its legal basis and the practitioner’s situation.

What remains the practitioner’s responsibility?

The quality and accuracy of entries, consent, professional secrecy, responding to patient requests, continuity of care, and the retention or transfer of records when ending practice.
