Terms of use
Version 2026-08-29. These terms govern professional access to DocTime.
1. Purpose
DocTime is an organisational tool for independent care professionals, covering scheduling, patient records, payment tracking, documents and exports. It does not replace clinical judgement, emergency services or professional obligations.
2. Access
Users must be authorised to practise and provide accurate information. Accounts are personal and credentials must not be shared. Practitioners may create limited, named access for authorised cabinet staff. They select each role, ensure that each person is authorised and bound by confidentiality, revoke access when it is no longer needed and remain responsible for the delegation.
3. Practitioner duties
- Inform patients and establish the required legal grounds.
- Enter only information useful to the practice.
- Check appointments, amounts, receipts and exports.
- Protect devices and report security incidents.
- Meet professional, tax and retention duties.
4. Third-party services
Google Calendar sync is optional and limited to the permissions shown during authorization. Third-party terms also apply.
5. Availability
DocTime aims to remain regularly available but cannot guarantee uninterrupted operation. Commercial support and continuity arrangements will accompany the paid offer.
6. Data and termination
Practitioners retain control of their data. Before closure, DocTime provides a complete archive. A closure request can be cancelled for 14 days and then deletes the account, active data, documents and external connections. Practitioners must retain or transfer their archive in accordance with their professional and legal duties.
7. Intellectual property
The software, brand and content belong to the publisher or their respective owners. A subscription grants a limited, non-transferable professional right of use.
8. Subscription, trial, billing and payment
DocTime is a paid service offered at EUR 4.99 excluding VAT per month or EUR 49.99 excluding VAT per year. Applicable VAT is added based on billing information. Creating an account requires selecting a subscription, providing accurate billing details and registering a payment method with Stripe, unless a card-free trial is explicitly offered. In that case, a payment method is required at expiry to keep editing; otherwise records remain available to view and export in read-only mode.
The subscription starts with a two-calendar-month trial during which no subscription fee is charged. Unless cancelled before the trial ends, the selected plan is then charged and renews automatically for each period. An invoice is issued at the start of each paid period, sent to the account email address and made available through the Stripe portal. Cancellation can be requested through the Stripe portal and takes effect at the end of the current period, without a refund for a started period unless mandatory law provides otherwise. Belgian law governs the commercial contract, subject to mandatory rules.
